This Privacy Policy explains how Sainath Buildcon and Real Estate Private Limited ("ROBIN", "we", "us", or "our") collects, uses, and protects your personal data when you use the Roorkee Business Network and our broader alumni networking service, including through WhatsApp and email.

ROBIN acts as a Data Fiduciary under India’s Digital Personal Data Protection Act, 2023 ("DPDPA") with respect to your personal data.

1. Who this policy covers

ROBIN is a private, invite-only alumni business network. We currently serve verified alumni of IIT Roorkee and may add additional partner institutes over time. This policy applies to all alumni who interact with ROBIN through any channel.

2. Information We Collect

Identity data: Name, phone number, institutional email, graduation year, degree, branch.
Professional data: Role, company, industry, location, LinkedIn URL, skills, headline, bio, and other professional details you voluntarily share.
Conversation data: Messages you exchange with ROBIN on WhatsApp or email, including business intents, asks, and requests.
Verification data: Information used to confirm your alumni status (degree details, institutional email verification, or referral by a verified member).
Outcome data: Whether an introduction we facilitated led to a real outcome (deal, hire, investment) — collected only if you choose to share it.
Usage data: Response patterns and interaction history used to improve match quality.

3. How We Use Your Information

To verify your eligibility as a member of one of our partner alumni networks.
To parse and understand your business intents using AI-powered language models, and to identify alumni whose profile fits what you need.
To facilitate double opt-in introductions between members — your contact details are shared with another member only after both of you have explicitly consented.
To communicate with you via WhatsApp or email regarding your requests, matches, introductions, and network activity.
To improve the quality and relevance of our matching system over time.
To prevent fraud, abuse, and misuse of the network, and to defend legal claims.

4. AI and automated processing

ROBIN uses third-party AI language models to read your messages, extract your intents, and identify relevant matches. We have selected providers that contractually commit to not using your data to train their public foundation models. The specific providers are listed in Section 7.

5. Legal basis for processing

We rely on the following lawful bases under the DPDPA:

Consent: You provide consent by replying to ROBIN’s welcome message and continuing the verification flow. You may withdraw consent at any time (see Section 12).
Legitimate use as permitted by law, including preventing fraud, defending legal claims, and complying with applicable laws.

6. How We Share Your Information

We do not sell, rent, or trade your personal information. We do not broadcast your information to the network or send mass messages.

Your contact details are shared with another member only when both of you have explicitly consented to an introduction. We share data with third-party service providers ("sub-processors") strictly as needed to deliver the service — see Section 7.

7. Sub-processors

ROBIN uses the following third-party service providers to deliver the matchmaking experience. Each one is bound by a Data Processing Agreement or equivalent contractual safeguards. We will update this list before adding any new sub-processor.

8. Cross-border data transfer

Some of our sub-processors (notably OpenAI, Google, Anthropic, Crustdata, SendGrid, and Backblaze) process data on infrastructure located outside India, primarily in the United States. By using ROBIN you consent to your data being transferred to and processed in these jurisdictions, subject to the contractual safeguards described above.

9. WhatsApp Messaging

ROBIN uses the WhatsApp Business API to communicate with members. By messaging ROBIN on WhatsApp, you consent to receiving messages related to your requests, matches, and introductions. You may opt out at any time by replying STOP or by contacting us at hello@robinalumni.network.

10. Data Retention

Active profile and conversations: retained while you remain an active member of ROBIN.
After deletion: on receipt of a deletion request (see Section 12), your profile and message history are removed from our systems within 30 days, except where law requires us to retain certain records longer (e.g., tax or audit obligations).
Backups: encrypted off-site backups may continue to contain your data for up to 90 days after deletion, after which they are overwritten in the normal backup rotation.
Anonymous aggregates: de-identified counts and metrics (e.g., total introductions, network growth) may be retained indefinitely for product measurement and do not identify you.

11. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

Encryption in transit (TLS 1.2+) to every third-party service.
Encryption at rest for off-site database backups, with the encryption key held only by ROBIN.
Multi-factor authentication for all administrative access.
Restriction of member-data access to authorised personnel only.

12. Your Rights under DPDPA

You have the following rights with respect to your personal data:

Access a copy of the personal data we hold about you.
Correction of inaccurate or incomplete data.
Erasure of your data — reply delete my data on WhatsApp, or email hello@robinalumni.network.
Withdraw consent at any time. This ends ROBIN’s processing on a forward-looking basis.
Grievance redressal — if you are not satisfied with our handling of any of the above, contact our Grievance Officer (Section 15). You may also raise a complaint with the Data Protection Board of India.

13. Children and minors

ROBIN is intended for verified alumni of partner institutes — by definition all members are adults. We do not knowingly collect personal data from anyone under 18 years of age. If we become aware that we have collected such data, we will delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top and, for material changes, notify active members via WhatsApp at least seven (7) days before the change takes effect.
